Job title: Practice Manager

Purpose of the job
Carry out management duties to ensure effective running of the practice and perform such other tasks as reasonably requested by the Area Manager and Principals. Responsible for: Dental nurses, receptionists, therapists, associates, cleaners, casual workers and temporary staff.

Employment duties:

Take responsibility for the management of the practice in the key areas of finance, personnel, health and safety, stock control and clinical governance, Follow practice policies and procedures and to monitor the staff and help them to follow policies and procedures.Promote, establish and maintain productive working relationships with all members of the dental team. Liaise with Area Manager and The Principals on all matters concerning finance, administration, pay and service conditions. Supervise all staff in the practice to include the following:
Training
Punctuality
Uniforms and appearance
Sickness and other leave
Customer service
Liaise with businesses, tradesmen and service providers. Take reasonable care for your own health and safety and that of others who may be affected by your acts or omissions at work. Perform high quality administrative support whilst assisting the management in all procedures in a safe and effective manner in accordance with the ‘Code of Ethics’ and the GDC Standards.
Key management tasks

Finance / KPI’s

Work with the Area Manager to ensure the efficient and effective management of the practice
Ensure adherence and monitor performance against the business plan
Maintain financial information and provide suitable audit and financial reporting systems
Produce monthly KPI’s and discuss the practice performance with the Area Manage and are all monies are banked appropriately and ensure effective credit control methods are in place including collection of outstanding debts
Make sure all money due is paid on the day, check outstanding accounts for patients who visited and raise any ledger queries
Petty Cash handling and monthly reporting
Import standing orders data (twice)-monthly for the practices
Handletients accounts, (hand) invoices, statements and bills – monthly roll and overdue accounts follow-up and reporting
Administration

Manage the practice premises and its security, Develop and keep up-to-date all practice policies and procedures, train practice staff in their use and ensure that the relevant procedures are always followed. Manage implementation of the practice clinical governance system. Ensure maintenance of the practice computer system & Control inventory and stock ordering system. Liaise with reps and negotiate best prices for dental materials and equipment. Ensure that the diary is booked, and adequate clinical time is available for appointments. Diary planning - going through the diary ahead of time to establish if there are enough NHS slots, NP/REV slots and whether the clinic is fully utilized.Check that transmitted NHS claims appear on monthly schedules. Check that clinicians have submitted relevant claims (daily) – NP/Reviews, Refusals, de-bonds and bond-up. Checking the NHS BSA claims messaging portal for errors and notifications (once a month)
Health and Safety, equipment maintenance

Perform the duties of a Health and Safety Manager and ensure that all staff are aware of and adhere to appropriate health and safety policies and procedures. Ensure that all practice equipment is maintained and serviced in accordance with the manufacturer’s instructions and practice policies
Personnel

Undertake appropriate HR duties in respect of induction, training, monitoring of CPD, appraisal, performance issues, pay, grievance and disciplinary issues and liaise with Area Manager over these. Keep and monitor staff records including sickness and other absence and o rganise and chair practice meetings and daily huddles.Ensure that staff are motivated and performing to best of their abilities.Assist with the preparation of the staff rota (clinical and admin) and cover. Book agency staff as and when needed
Patients

Ensure efficient running of the patient recall system
Manage the practice complaints system
Oversee patient feedback, surveys and FFT forms
Manage and respond to patient queries
Cover the treatment coordination clinic in absence of the TCO
Deal with New Patient enquiries an ensure clinics are adequately booked
Ensure relaxed atmosphere for patients
Keep full and accurate patient records and ensure that they are regularly updated and stored securely
Maintain and promote patient confidentiality in relation to patient medical history, details of treatment, financial transactions or any conversation overheard.
Training

Arrange and attend training and practice meetings, Identify and organise staff training when needed, Identify your own training and development needs and complete them as agreed with the Area Manager
